Hello and welcome to our On Demand webinar, where we will be focusing on Givecloud, Express Donation Forms. My name is Kelly Ramage, and I have the privilege of spending this next chunk of time as we dive into some of the exciting details as you’re reading the screen, one of the things that I love about a new solution that I have the privilege of learning more about, is when I see it’s going to save me time, and that there are benefits, like saving time and integrations. So it’s a win for you as a nonprofit, as well as your supporters. So what are we going to be diving into? Well, we’re going to talk about some of the setup, success details, some of the form basics for a successful form. We’re going to make sure that everybody understands how the integration with DonorPerfect is going to work. It’s really easy. Just involves a couple of key coded fields. We’re going to highlight a handful of the valuable form options. There are many, but we’re going to highlight just a handful of them, and then we’re going to see the form in action. Just a little bit of a note. The contents that you’re seeing in this webinar may contain fields and features that are different than your own, specifically in DonorPerfect. So if there’s anything that you see that you have questions about, certainly, just reach out. We’re happy to help. So we’re actually going to start at the end, and what you can see here, kind of in my form example, are some really cool features that you have available to you, and that’s going to include a bit of a like a message, a countdown, so that others can kind of feel the urgency of The goal that you are trying to reach, but also the the value of the purpose of their contribution. You’ll see like where you’re at in your goal. You can set that up for yourself. You’ll see that you can make a form one time or recurring. You can see here that a donor can designate their the purpose of their dollars if you choose to enable that. There’s also options for showing impact. And this is just kind of the initial landing page. Some really cool things here are available. So that’s the end goal. That’s where we’re headed when we walk through our time together. Now, a couple of other things that I want to draw your attention to is the DonorPerfect results. So you’re seeing that in the lower right hand corner of your screen, and of course, the dollar and the date of the contribution are going to come in. But what I want to draw our attention to are some of the key coded fields, and what is going to be critical for you to benefit in its like best format is that you want to make sure that you have these codes created in DonorPerfect prior to creating the form. We’re going to get there. I just wanted to highlight it now so you can kind of see how all of this is going to tie together. Some is going to simply be visible to you as the administrator or the creator of the form, and then others are going to be visible to your supporters when they benefit or use the donation form you’re about to create. So that’s the end result. Where do we start? Well, where we’re actually going to start is in DonorPerfect, believe it or not, and one of the things that I want to make sure that you are very comfortable with is how you can create your DonorPerfect codes. Now I’m highlighting four of them. I personally think General Ledger is going to be really valuable for kind of that reconciling between what’s in DonorPerfect and accounting, but that’s the designation or fund of the gift campaign solicitation and sub solicitation, I think, tell a beautiful fundraising story. Again. These fields are not visible to your supporters, but when you kind of think forward for financial reporting, you want the story to be told. The other thing that you want to kind of think through for a donation form is, do you want the donor to choose the designation? You certainly have that as an option, but that’s something that you want to give some thought to as you’re getting ready to build the form. So what I’d like to do is to actually hop into a DonorPerfect system and make sure that you are very comfortable with how to create these coded fields. So now I am bringing over DonorPerfect, and if you are familiar with DonorPerfect, you’ll know that you can go into any gift record of any donor. Maybe you have a test record of your own, and you can create codes from within the. Record itself. You can also do that from settings and code maintenance. So my system timed out here, so I just need to log in. So just kind of reversing what I said, we could go to settings and code maintenance and create codes. But I think what’s a bit more common is to actually hop into a record. And then you can click on the little plus sign. So you’re going to see these coded fields throughout a constituent record. I’m going to go ahead and go to a gift record. I’m going to add a gift and you can see here that I have default values displayed. So that’s why some of these things are already populated. But what I want to draw our attention to is a little plus sign. So you can see here, I can click on the little plus sign, and if I wanted to create a new code, I can just simply type in what my new code is, and the description is what I’m going to see, as you can see displayed on my gift screen, and the code is being created automatically, and then save you want to do that first prior to creating your give cloud, express donation form. Once you’ve done that, you’re ready to jump in and create a form. So how do you get started? Well, from DonorPerfect, we’re going to go to apps and give cloud, and that is going to bring up a screen where you’re going to enter in your email address and the credentials that may have been provided to you from your onboarding coordinator. But basically it is, it’s an email address and then your password, and it will welcome you, and you will see the initial landing page. Now let me not get ahead of myself, but let’s go ahead and jump back into some of the details. What are we going to be reviewing after our codes? Well, what we want to make sure is that you understand some of the key elements of your form, such as template and branding. Every form can have its own kind of brand and message, which is is valuable. We want to make sure that you understand a couple of the layout options. One of the things that you’re going to discover is that there’s a lot of online guidance. So we’re trying to remove the mystery of what it is that you have to build. There are many options under customized experience. We’re going to be highlighting some of the more common ones. We want to make sure that you know where and how to share this form. There is an option for every form about the confirmation email and tax receipts. We’re just going to highlight that because today’s focus is really on creating the donation form. If you want more information about the receipt set up in the process, I’ll point you to some valuable resources, and then the last option that I want to make sure that we highlight are the choices that you have perform where you’re going to give the donor the option to designate the funds and accounting codes. So let’s scoot back here to give cloud, and let’s take a look. So here I am in Givecloud, and you’ll see several different options, menu options on the left hand side. And I am actually going to go to fundraise, just so you can kind of again, see the end result, and then we’re going to build it. So here is my form that we were taking a peek at earlier. I’m going to use that as my talking point, but where you actually go to create a form is up here under Create, and you’ll see that there are several different options. We’re focusing on the donation form, and here’s one perfect example of the online messaging so that you can make kind of informed decision. So we’re going to choose the giving experience standard, and now we’re underway, and so we’re going to walk through these options, and we’re going to actually use an existing form, so you can kind of see the same screens, but some of the values that were populated. So let me just back out of here and I’m going to go to my Save the Elephants form, and I’m going to load it. So here we are. That’s where I was at just a moment ago. So here you can see I have the options of template and branding. So here’s where you’re going to name the fundraising experience, so I’m just calling it Save the Elephants. A couple of things that I’m drawing your attention to is that you’re going to see these information bubbles throughout the form. If it is a text field, you’ll also see some guidance for the character count here.
Here is the template options, and this is where you can choose the different kind of formats and a little bit more of a thumbnail in terms of what you’re going to end up with. And again, standard is what I selected, and that is most common. It works beautifully for websites, mobile devices, and it’s just, it’s a nice experience for the supporter. Here’s where you can get into the logo and colors for that form. You’ll also notice that here’s where I can add some additional imaging. Really important in terms of the logo. It’s set to auto to optimize the logo size based on your image. You can also have a form support multiple languages, English, Spanish and French, as we’re done here. I’m just going to move to layout. And here’s where, again, I can see it desktop and mobile. Here are the kind of the overall layout. Again, I’m choosing what is common standard. I could switch it to simplified, and it just is reducing some of the user elements. Here’s the headline, our description and our picture. Now, if I wanted to kind of pause and see what I’m building as I go, I’m going to click on Save. A message pops ups to let me know that it’s saved. I’m going to click on Close. And now here is where I can see a live view or a preview. So here’s what I have now. This is a completed form, but you can kind of see how this navigation is going to work, all right. So now I’m going to go back to my form. So I’m clicking on the image. There’s a little pencil there to indicate edit, and I’m going to continue. So we talked about template and branding layout. Now I want to just highlight a couple of the customized experience options. So again, you’ve seen the end result, and you can see here this messaging that popped up. I don’t know if you saw that earlier, but you can social proof it is what it’s called, and that’s just a way to kind of communicate to people who are maybe not sure, is this an active form, or do they have other people participating? And it just it motivates your donors to complete the transaction. And again, all of these options are optional, but enabling many of these options are also going to help increase your conversion and a conversion rate just simply means when somebody finds the form or is looking at it to take them the whole way through, they’re converting it from kind of a previewer to a donor. The countdown is a really great idea to, as I mentioned, communicate that urgency. Again, it’s optional. The goal thermometer is what was up at the top. Again, your choice. If you are going to set a goal, one of the things that you may want to consider is putting in $1 amount for the initial progress to communicate. It doesn’t need to be a lot. It could be 10, and then that will communicate that the form has been used, as opposed to nothing. But again, that’s that’s a choice. Okay, we can choose for these goals. Are you going to include donor covers costs. We’re going to talk about that. But that is an option, that you have your recurring options. What is this form going to be doing? Is it a one time, which is referred to as today only, or is it going to be multiple, like a multiple, multi donor, recurring contribution, many times? That is going to be often referred to as monthly donors. Okay, so here’s my monthly and today only suggested amounts. Now, one of the things that is valuable is in these dollars amount, if you set it to automatic, as you see on the screen, it’s using give clouds technology to determine the right amount for that donor. If you want to control the amounts and have very specific amounts which you might be more familiar with, you certainly have that option, and you can specify the dollar amounts as you as you wish. I’m going to leave it to automatic, so you can see how that works. Here’s where you have an impact promise to like an opportunity to communicate that transparent message. And then if you’re going to want this form to allow for tributes or gifts given in memory. So as that is all about the donation form, you’ll also see some. Additional experience options, the reminders, kind of, kind of, kind of, in a sense, quote chase the donor to remind them if they want to finish their contribution. Another option that’s really valuable is the email opt in and that will update the DonorPerfect field, and then a nice, little simple thank you message once the donation has been completed, something that’s really important. So there’s a lot of valuable options under customized, I highlighted most of the ones under donate. We’re going to skip ahead, and I just want to talk about sharing. Here’s where you have the opportunity to put in a message when they choose to share with their supporters, friends and families, the email and tax receipts. So this is where you have the confirmation email. Okay, so that is going to be the message, and you can see that you have up to 1500 characters. One of the things that is beneficial here is that you could have two messages, one message for the one time, or today, only transactions, and then the recurring message for your monthly donors. And then, if you would like to be notified by email, you have that option as well. Here’s where you can choose as to whether you are going to also be sending a tax receipt. I’m not getting into the details of the receiving setup, but suffice to say that every form, you have the option of whether you want the donor to get a confirmation email as well as a tax receipt. So the tax receipt is optional. There may be some forms that are used where you don’t want to send that tax receipt. That’s completely your choice. The last option here is funds and accounting, and this is where you are allowing your donors to make the kind of decision in terms of the designation of their gift. These fields that we’re seeing here are the coded fields that are coming from DonorPerfect. So now I’m going to save the one thing that I just want to highlight here is this is the DonorPerfect codes on the right. Here is what I can under the primary fund name, and the names is what is going to be visible on the form itself. So I can change it so it’s a little bit more donor friendly. Now I’m going to choose Save Close, and now we’re going to preview the form just so you can kind of see everything that we just built. Okay, so here’s my countdown, here’s my goal, here’s the today and monthly. Here’s the drop down for the donor designation and the tribute, as well as the impact. Now I’m not going to use it yet, but I’m just highlighting a lot of what we just built, and we kind of saw behind the scenes, how it came to life. Now, if I were to go back here and talk about some additional form options. What are a couple of the key ones? There’s a lot to choose from, but what are some key ones? Well, we want to make sure that you understand how the integration with DonorPerfect works and where some of the coded fields need to come into play, where the share links are at how and where you can have the option to embed a widget as well as promoting a QR code. Let’s go back here to my form. This out of the way. We go. Okay, so now let’s continue here. Okay, so I built my form. Here are is I like the landing page where I can edit the form, and you saw all of the options under there. Now we’re going to see some additional options now that the form has been built and saved. Here’s where I can share the link. Okay, so that’s going to be important, where you can copy the Donate link. One of the things that you’re seeing is that this form can all donation forms can be made peer to peer, as this one has been. Here’s where you can embed the widget, and there is a host of information.
Here’s where you can get a QR code for the donation form. And then here’s the integration. So we want to go to integrations and donor. Topic. This is really important because remember the completed gift that I showed you at the beginning, and how there were key fields that were populated? Well, one of them was visible to the donor, and that was the general ledger, but then there was a lot of other coded fields on the gift screen. So what I have here are three choices. Now, the reason I’m seeing three is because I chose to customize the coding based on recurring frequency. So let me just kind of draw your attention. This slider is what makes all of these options available. Okay, so I’m going to kind of remove this. Maybe your donation form is a one time only. Well, then this wouldn’t be necessary. Okay, so you can kind of see it’s going to give you fields where you can populate the codes. If your donation form is going to be one time and recurring as mine is, I want to make sure that I have the code values for my one time gifts as well as my monthly because as we think about that, that might be beneficial to have some distinction in DonorPerfect for future reporting. So what I’m going to show you here is the drop down. So all of these values are coming from DonorPerfect. So let me just go over to DonorPerfect, and you can see here the values. Okay, so it’s the same list in DonorPerfect as it is in give cloud, and that’s why we started with creating the give cloud. Excuse me, creating the DonorPerfect codes first. So I’m going to go to today only, and I’m populating those values, and then I would go to monthly. I can populate those values. You can see how some of them are different, and I’m highlighting the key field. So General Ledger was visible on the form to the donor campaign solicitation, sub solicitation and thank you letter are the fields that I’m highlighting. Okay? And again, I’m going to create those codes first in DonorPerfect before I create the form so that they show up in these drop-downs. Now I’m going to choose Save and I can close this. And now we’re ready to see the form in action. So let’s go back here to a live view.
Now I’m looking at my form. Now I’m going to put on my donor hat, and you can see some of the messages that are popping up. And I’m going to be a today only. I’m going to choose other so you can see how all of these choices work. I’m you can see some of the messaging that is being updated in real time. Most needed. You can see, there’s my funds, my primary and my account code. So I’m going to choose most needed, which is the label I added, but it’s actually the unrestricted code, I can dedicate my gift, and this is in memory of here’s the impact promise that we added in our form. Now I’m going to move on to donate. Here is the donor covers costs, some information to the donor. I’m going to donate as myself. Now I have to get a code to verify that I am a a real person here, so we’re just going to pause this for a moment and as we are waiting for that code to come in, I am hopeful that you are getting excited about the possibilities here. So now I’ve gotten my code, so I’m going to enter that in.
I’m so again, here is payment methods. I’ve obviously been a DonorPerfect you can see how you can add payment methods. Since I’m in the US, and I have set up, not since I’ve been in the US as a US nonprofit, and the applications that I’ve set up with DonorPerfect, and how I’ve set up my safe save accounts I can process ACH or credit card gifts. Okay, so you can see, I’m just going to go back here, and I’m going. Going to give my gift, contacting the bank, authorizing the payment. It’s been approved. And again, this is all the donor experience that I’m showing you here. One of the options that we didn’t highlight is I can upgrade my impact, I’m going to say no thanks. Here’s where I chose to do, the email opt in, so yes and continue, and now I’m done. Here is the sharing and whatever the donor chooses those sharing messages, it’s going to be what appears. And then one benefit that we’re not going to get into, but I will draw your attention to, since I’m looking at this from a donor’s perspective, is there is access to a donor portal. You can look up information about that on in a separate place. I’ll show you where those resources are at in a moment. But now what I want to do is I want to go over to DonorPerfect, and I’m going to refresh my screen up and I have to log back in because I’ve been idle too long here.
Okay, now I’m going to look up my record, and I just want to show you a couple of things. So here we can see some information. This is now in DonorPerfect, so I’m looking at the right account. It matched based on my email and then my name. You can see my gift information is appearing there. Here is my actual gift, and you can see that it was given as a tribute gift. If I edit that, here are the values that came from my form in the memo, your didn’t mean to move that down, quite like that. There we go. In the memo, you’ll see that it is given by GC, which is Givecloud. The other thing that I just want to draw your attention to is that I did receive an email, so let me just drag that across, because I chose to have a confirmation email enabled.
And voila, you’re done. So pretty cool stuff. Now, before we end our time together, just a couple of things. Let me go back here into give cloud to just draw your attention to a couple of resources. So one of the things that you’ll notice in the kind of upper area of give cloud so I’m looking at give cloud Express here, and here’s the initial landing page. Here is a knowledge base. So there’s a lot of help articles here that are give cloud and DonorPerfect specific. So this is all about give cloud Express. You’ll also notice, while the agent is offline, there is the ability to reach out to our fabulous support team. So these are the wonderful support reps that you are familiar with with DonorPerfect. And even though this is a give cloud Express form solution, it is a DonorPerfect supported product, and so you will be able to reach out to our technical support team, as you are very familiar with, from within DonorPerfect as well. So let’s wrap up our time here and do a quick recap. So one of the things that we’re suggesting is that you create your DonorPerfect codes first, and you saw in our demonstration the value to that, because then they were part of the drop down when you were designing your form. If you chose to enable the funds designation for your supporters, you also saw those codes available when we were focusing on the integrations from within the form for donation forms, a couple of things to keep in mind is you can have unique branding and messaging for each form. The customized experience has a plethora of options, but it really makes the donor experience very engaging and helps in those great conversions. The messaging options that you have available. People for one time or recurring are valuable so that while it’s one form, the messages are unique to what the donor chose to do. A great option that seems to be very common among many nonprofit organizations is giving the donor the option to designate their gifts, and with that, remember the DonorPerfect codes are going to come in as DonorPerfect codes, but what the donor sees can be modified a bit to make it a bit more user friendly. And as you saw in our demonstration, that transaction is downloaded automatically to DonorPerfect and it is using email address and a combination of name for the matching, and you saw how that worked and the completed transaction. There are many resources available, as I highlighted within give cloud, and don’t ever feel that you have to figure all this out on your own. The reality is great resources are available. You have this on demand webinar, there’s also the technical support team. But also keep in mind, if you have one on one training time, you can certainly use it there.
