Speaker: Getting started with Donor Perfect’s receipting tool. Building relationships with contributors is important. Use Donor Perfect’s receipting tool to send email receipts and create thank you letters. Let donors know their gifts have been received and are appreciated. For each gift, you can send email directly from your system or generate a physical letter with auto-populated fields contained in DonorPerfect. These options can be set separately for the system as a whole, individual donors, and individual gifts.
To get started, set a system default for donors and gifts. Go to settings, parameters, acknowledgment/receipts. Choose the default delivery method from the dropdown. In DonorPerfect, you have four options for sending thank you letters and email receipts, letter, email, both, or neither. On a new system, this option will be set to letters only by default. You can also set different options for individual donors that bypass the default system setting. Go to the main tab of the donor’s record and select an option from the receipt delivery dropdown.
To take it a step further, when adding a gift, make your selection from the receipt delivery preference dropdown under gift details. This overrides the individual setting and sets a unique option for a specific gift. Once your receipts are processed, DonorPerfect will record the date of the receipt in the gift details section on the gift screen. One important thing to remember is if your overall system setting is email and letter, you must generate both these types of receipts in your batch for a gift receipt to count as being sent. DonorPerfect will automatically keep records of this activity, so you can track which gifts have not been acknowledged.
